Refund & Cancellation Policy

GC Overseas is an air-ticket consolidator and travel agent — an intermediary, not the operating carrier. Refunds on air travel are therefore governed first by the operating airline's fare rules and by the Directorate General of Civil Aviation (DGCA) Civil Aviation Requirements (CAR, Section 3, Series M, Part II), read with the Consumer Protection Act, 2019. This policy explains how those rules are applied and how any amount due is returned to you.
1. Airline fare rules govern the fare component
Every fare carries its own cancellation and change conditions. The refundable portion of the base fare, if any, is fixed by the operating airline after it deducts its own cancellation charge. Some promotional or block fares are marked non-refundable, in which case the base fare is forfeited on cancellation. We cannot waive or override an airline's fare rule.
2. Statutory taxes and fees are always refundable
Even on a non-refundable ticket, the statutory and airline-collected charges — GST, User Development Fee (UDF), Passenger Service Fee (PSF), Aviation Security Fee and similar levies — are refundable for any segment not flown, as mandated by DGCA CAR. Only the fare component (per the fare rule) and permitted service fees may be withheld.
3. Free look-in / 24-hour window
Under DGCA rules, for tickets booked at least 7 days before departure, you may cancel or correct the booking within 24 hours of booking at no charge. Requests inside this window carry no airline or agent cancellation fee.
4. Airline-fault (involuntary) situations — no cancellation charge
Where the disruption is the airline's fault — flight cancellation, a significant schedule change or delay, or denied boarding — you are entitled to a full refund and/or the DGCA-mandated compensation, with no cancellation charge levied by the airline or by us. These are involuntary cancellations.
5. Cancellation charge capped at base fare
Per DGCA CAR, a cancellation charge shall not exceed the base fare of the ticket. Any airline plus agent charge, taken together, cannot exceed the base fare; the balance, plus all statutory taxes and fees, is refunded to you.
6. Convenience / service fee is non-refundable
Our convenience / consolidation service fee is charged for arranging and issuing the ticket and is non-refundable. It is always disclosed separately on your invoice and credit note — never bundled into the airline's charge.
7. Voluntary vs involuntary cancellation
- Voluntary — you choose to cancel or change. Airline fare-rule charges (plus our service fee) apply; statutory taxes and fees are still refunded. No-shows (not travelling without cancelling) are generally non-refundable except for statutory taxes.
- Involuntary — the airline disrupts the flight (see Section 4). A full refund and any DGCA compensation apply, at no cancellation charge.
8. Refund timelines by payment mode
Approved refunds are returned to the original payment method. Indicative timelines from the date we receive the airline's refund confirmation:
| Payment mode | Refund timeline |
|---|---|
| Credit / debit card | 7 working days |
| Net-banking / UPI | ~7 working days |
| Other modes (offline / wallet / cheque) | up to 30 days |
Timelines start once the airline confirms the refund; airline-side processing may add to the total.
9. How to request a refund or cancellation
Raise a request from the "My Trips" panel in your account, or email info@gcoverseas.com with your booking reference and reason. Cancel before departure. Unresolved refund grievances may be escalated to our Grievance Officer at info@gcoverseas.com or, as a consumer, to the National Consumer Helpline (1915).
10. GST credit note
Every cancellation is documented with a GST credit note referencing the original tax invoice, so the tax adjustment on the refunded amount is correctly reflected in your records.
